What is a virtual office?
It's a service in which you rent an address for your company's registered office, without renting actual premises. You receive an address which you can enter in KRS or CEIDG, an address lease agreement serving as the legal right to use the premises, and a mail handling service: we collect your mail and notify you of every item received.
How does it work in practice, step by step?
You choose a city and a package, sign a contract with us online and pay the invoice. Once the payment has been processed, the address is yours and from that moment on you can use it as your company's registered office. We take care of the rest: we collect your mail, notify you of every item, and with the Prestige and TSL packages, we scan it and upload it to your client portal.
What exactly is included in the package?
Each package includes: a business registration and correspondence address, an address lease agreement, unlimited collection of standard and registered letters, notification of every delivery, the option to collect mail in person, and e-Doręczenia. Prestige and TSL also offer scanning of correspondence, which you can access via a dedicated client portal. The TSL package has been designed for companies holding a transport licence.
Is a virtual office legal?
Yes. You rent an address for your registered office - a lawful and widely used arrangement, confirmed by a judgment of the Supreme Administrative Court of 5 August 2014. We will provide you with an address lease agreement - that is, the legal right to use the premises - which you can attach to your registration documents.
Who is a virtual office for?
It's particularly suited to those who work remotely or travel to clients and don't need extra space they'd have to pay for. You pay for the address and postal services, not for an office you wouldn't use anyway.
How do you register a business at a virtual address?
The order matters: first, sign a contract with us; then submit your application. A sole trader registers in CEIDG; a company registers in the KRS, either via the S24 system or through a notary. In both cases, you must provide our address as the registered office and attach the lease agreement for the address as proof of the legal right to use the premises.
Is the address suitable for both a sole trader and a limited liability company?
Yes, for both. Foundations and branches of foreign companies also register at our addresses. For a company, the requirement is the same as for a business: the legal right to use the premises, i.e. an address lease agreement.
I already have a business. Can I move it to your address?
Yes. You sign a contract with us, and then you report the change of address: in CEIDG if you're a sole trader, and in KRS if you're a company. You'll also need to update your address elsewhere: with your bank, on invoices and with your business partners.
How quickly can you set up an address?
On the same day. The contract comes into effect once the invoice has been paid and the funds have been credited to our account, and from that moment onwards you can use the address as your company's registered office. Everything is done remotely; you don't need to come in person.
Is this address suitable for e-Doręczenia?
Yes. In every package we help you set up an e-Doręczenia mailbox. e-Doręczenia (e-Delivery) is the electronic equivalent of a registered letter: a separate digital mailbox for correspondence with the Tax Office, ZUS and the courts, set up free of charge via the gov.pl portal. A registered address is still required, however, as some correspondence is still sent in paper form.
How much does a virtual office cost?
From 599 PLN net per year on the Standard package, which works out at 50 PLN a month. If you pay monthly, the Standard package costs 149 PLN a month, so paying for the year in advance works out cheaper. The Prestige package with correspondence scanning costs 799 PLN per year, while the TSL package costs 999 PLN per year. Promotional prices apply only in the first year of the contract and are valid for addresses in Warsaw, Wrocław and Poznań; in other cities, the standard price list applies. Are there any hidden charges?
There is no sign-up fee or deposit. There is no limit on the number of items of mail you can receive, including registered mail, so you do not pay extra based on the number of letters. If you ask us to forward your mail, we can of course do so for an additional fee.
Is a virtual office tax-deductible?
Usually, yes. It is a cost of running your business, so it is tax-deductible and reduces your taxable income. Exactly how this works in your case depends on your tax regime, so please check with your accountant.
What do you do with my mail?
We collect every item of mail, including registered letters, and will notify you when they arrive. It's then up to you: you can collect it in person by appointment, we can send it on by post or courier (for an additional fee), and on the Prestige and TSL packages we scan it and upload it to your client portal, usually within a few hours of delivery.
Why are the scans in the client portal rather than by email?
Because business post includes letters with deadlines, payment demands and contracts, and you don't want documents like that scattered across your email inbox. In the client portal, they're all in one place, organised by date, and won't be buried under newer emails. You'll receive an email notification whenever a new scan is uploaded.
Is a virtual address sufficient for a transport licence?
The registered office address alone is not enough, as the licence also requires an operating centre : a real site with technical facilities and parking. We provide both, but they are two separate things: the registered office is included in the TSL package, while the operating centre is a separate, paid add-on. Please let us know what stage you're at, and we'll provide a quote for both elements.
Can the Tax Office challenge this address?
A virtual address in itself is not grounds for refusal, as confirmed by the Supreme Administrative Court. However, the tax office sometimes asks additional questions during VAT registration, especially if your type of business would normally need premises. That is why we provide an address lease agreement and actually collect correspondence at that address - and these are precisely the two things that are asked about in such situations.
