What is a virtual office and how does it work?
It's renting an address for your business without renting a room. You choose a city and a package, sign a contract with us online and pay the invoice. The address is active on the day your payment reaches our account, and from then on you can enter it in the KRS or CEIDG. You get an address lease agreement as your legal right to use the premises, and we collect your mail and notify you of every item.
What exactly is included in the package?
Every package includes: an address for registering your business and receiving mail, an address lease agreement, collection of standard and registered letters with no limit, a notification for every item, in-person mail collection and help setting up an e-Doręczenia mailbox. Prestige and TSL add mail scanning to the client portal. TSL is designed for companies with a transport licence. A licence also requires an operating centre, which we provide as a separate, paid service.
How much does a virtual office cost?
From 599 PLN net per year on the Standard package, which works out at 50 PLN a month. If you'd rather pay monthly, Standard costs 149 PLN, so paying annually is cheaper. Prestige with scanning costs 799 PLN per year and TSL 999 PLN per year. Promotional prices apply to the first year of the contract in Warsaw, Wrocław and Poznań. There is no sign-up fee or deposit, and you don't pay extra for the number of letters. The only extra cost is forwarding mail to another address. Full details are in the price list.
Is a virtual office legal?
Yes. Renting an address for your registered office is lawful and widely used, as confirmed by a judgment of the Supreme Administrative Court of 5 August 2014. We give you an address lease agreement, which is your legal right to use the premises. You don't attach it to your registration application, but keep it to hand in case you are asked for it.
Who is a virtual office worth it for, and who not?
It pays off if you work remotely, on the road or at clients' premises and need a business address rather than floor space. You pay a fraction of the cost of premises, your business address isn't your home address, and your mail is collected even when you're away. There are downsides too: you don't get a place to work or hold meetings, and you collect original letters in person or have them forwarded. If you need an office for a team or a warehouse, look for premises, not an address.
How do you register a business at a virtual address?
Sign a contract with us first, then file your application. A sole trader registers in CEIDG and a company in the KRS, via the S24 system or through a notary. You give our address as your registered office address, and in CEIDG as your address for service. The address lease agreement is your legal right to use the premises: you don't attach it to the application, but keep it to hand in case you are asked for it. Foundations and branches of foreign companies also register at our addresses.
Is the address suitable for a sole trader, a limited liability company and a civil-law partnership?
Yes. Sole traders and the partners of a civil-law partnership (spółka cywilna) are entered in CEIDG, each partner separately, and each can give our address. A limited liability company is entered in the KRS with our address as its registered office. Bear in mind that a company's articles of association state only the town, not the street. A new address in the same city just needs to be reported to the KRS, while moving to another city means amending the articles of association.
I already have a business. How do I move it to your address?
Sign a contract with us, then report the change of address: in CEIDG, online and free of charge, if you're a sole trader, or in the KRS if you're a company. You have 7 days from the change of address to report it. If a company is moving to another city, the shareholders also need to pass a resolution amending the articles of association. Remember to give your new address to your bank, on your invoices and to your business partners.
What should I enter in CEIDG as my place of business?
You enter our address in CEIDG as your address for service. This is the address anyone can see in the business search. If you work remotely, at clients' premises or on the road, you tick “no fixed place of business”. Your home address is then used for tax purposes, and if you're registered for VAT, it appears on the white list of VAT taxpayers. This doesn't apply to limited liability companies, as the KRS records the registered office address.
What's the difference between a registered office address and a correspondence address?
The registered office address is your business's official address in the KRS or CEIDG: it appears on invoices, in contracts and in public registers. The correspondence address is where your business receives its mail. In CEIDG it's called the address for service, and it's where letters from the Tax Office, ZUS and the courts are sent. They can be two different addresses, but they don't have to be. Our address does both jobs, because we also collect your mail at the address you give as your registered office.
Can the Tax Office challenge the address or refuse VAT registration?
A virtual address in itself is not grounds for refusal, as confirmed by the Supreme Administrative Court. During VAT registration, however, the Tax Office may ask where you actually run your business, especially if your sector would normally need premises such as a warehouse. In that case you show the address lease agreement and that mail really is collected at that address. Every package we offer covers both.
Is a virtual office tax-deductible?
Usually, yes. Under the tax scale or the 19% flat tax, the fee is a deductible business cost, and an active VAT payer can reclaim the VAT on our invoice. Under the lump-sum tax on revenue (ryczałt), costs are not deducted. Check with your accountant how this applies to you. We don't provide accounting services: we handle your address and mail.
What do you do with my mail?
We collect every item, including registered mail, and notify you when it arrives. Then it's up to you: collect it in person by appointment, have it sent on by post or courier for an additional fee, or, on the Prestige and TSL packages, get a scan in your client portal, usually within a few hours. We don't send scans by email, because letters with deadlines and payment demands are kept in one place in the portal, sorted by date. Email only brings you the notification.
Is this address suitable for e-Doręczenia?
Yes. In every package we help you set up an e-Doręczenia mailbox. e-Doręczenia (e-Delivery) is the electronic equivalent of a registered letter: a separate digital mailbox for correspondence with the Tax Office, ZUS and the courts, set up free of charge via the gov.pl portal. A registered address is still required, however, as some correspondence still arrives on paper.
